Worked example

For 84 guests: 50 roast beef fillet, 23 herb-crusted salmon, 11 squash and chestnut wellington in the main course. That is 78 adults and 6 children, with 5 dietary notes.

  • Starters: 42 wild mushroom soup, 42 smoked salmon.
  • Mains: 50 roast beef fillet, 23 herb-crusted salmon, 11 squash and chestnut wellington.
  • Desserts: 56 sticky toffee pudding, 28 lemon posset.

Milk is in 6 dishes and 210 plates, so milk is the one to tell your caterer about first.

How will your guests eat?

Name complete dishes, not their parts.

"Slow-roast Hereford beef with mash and seasonal greens" is one dish, never "steak" and "mashed potatoes" as two. Tick every allergen a dish contains, and what it is suitable for. Please confirm the details with your caterer.

What Fizz does with this

This planner counts what you tell it. In Fizz your guests tell it themselves, and the numbers stay up to date as replies arrive. The menu builder, meal choices and guests’ dietary notes are part of the Champagne plan.

Guests choose their dishes when they reply

On the RSVP form each guest picks their menu, adds a dietary note, and adds the people coming with them, children included. Every dish shows what it contains. Guests can change their choice until your RSVP deadline.

Build the menu once, tag every dish

A buffet works too

Switch the menu to a buffet, a set meal or sharing platters and guests see every dish and what it contains, with nothing to choose. This is the real guest view with made-up dishes.

Each table gets its own caterer view

On the seating plan every table lists who sits there and what they chose. The caterer summary adds the meal counts (or a headcount for a buffet), the allergens in the dishes chosen and every dietary note from that table.

Export the guest list as a CSV with a row for every person, plus-ones and children included, with their meal choices and dietary notes side by side. The couple also gets every dietary note in one list. This sample is made-up guests.

Questions couples ask

What are the 14 allergens caterers must declare?

Celery, cereals containing gluten, crustaceans, eggs, fish, lupin, milk, molluscs, mustard, tree nuts, peanuts, sesame, soya and sulphites (14 in all: celery, cereals containing gluten, crustaceans, eggs, fish, lupin, milk, molluscs, mustard, tree nuts, peanuts, sesame, soya, sulphites). UK law requires food businesses, caterers included, to be able to tell guests whenever a dish contains one of them. Your part is to tell your caterer about any guest's allergy, and to check the allergens of every dish with the kitchen before the day.

How many vegetarian meals should we order?

There is no fixed share, because it depends on your guests. Count the vegetarians and vegans who tell you, mark the dishes that suit them, and ask your caterer whether they would like a few spare. In this planner, tick "Vegetarian" or "Vegan" on a dish and its plates are counted in that course like any other.

Do children need their own menu?

Not always. Many caterers offer smaller portions or a children’s menu, so ask yours. Here, mark someone as a child and they are counted as a child in the headcount, and they choose from the same dishes as everyone else.

Why does it say some guests have not chosen yet?

Each course is counted on its own, and its total should be the number of guests eating. If a course adds up to fewer, some guests have no choice in that course yet. If it adds up to more, someone has been counted twice. A party marked as not coming is left out of every count.

What does my caterer need if we are having a buffet?

A headcount, the split between adults and children, the allergens in each dish, and any guest’s dietary note. Switch the planner to "A buffet or a set meal" and it leaves out the dish counts, because nobody chooses, and lists what each dish contains instead.
