Seating Plans for a Wedding With More Than One Meal

If your wedding has more than one meal, plan a seating plan for each one. The wedding breakfast and the evening buffet usually have different guests, can be in different rooms and are served by different caterers. A single plan either seats people who are not at that meal or leaves out people who are. Planning one for each meal keeps every list accurate.

This guide covers how to plan seating for several meals, what each caterer and venue needs, and how to avoid rebuilding everything.

Why a single plan does not work

Evening guests arrive later and are often a larger, different group. Bridebook's UK Wedding Report 2026 puts the average at 74 guests at the ceremony and 21 additional guests in the evening. A plan that mixes them gives the breakfast caterer a list full of people who are not eating, and it gives the evening caterer the wrong table counts. (source)

Plan each meal on its own

For each meal, work through the same steps:

Rules often carry across. If two guests should sit apart at the breakfast, they probably should in the evening too, so copy rules from one plan to another rather than rebuilding them.

What each caterer needs

Debrett's advice is that caterers must be supplied with a full seating plan, highlighted to indicate those with special dietary needs. (source) For several meals, that means one plan for each caterer, with only their guests. Each should show:

  • The tables and the people at each.
  • Each person's meal choice, if the meal is plated.
  • Every dietary note, with allergies marked.
  • The extra lines for the caterer, such as meals for your photographer and band, people who need no meal, and children who need a highchair.

Doing this in Fizz

When your wedding has more than one meal, the Fizz seating planner shows a Seating for box. Choose a meal and the planner opens that meal's plan.

  • Each meal has its own plan, with its own tables, rooms, rules, venue link and venue pack.
  • Only people who said yes to that meal's event can be seated in its plan.
  • A new plan starts with no rules, and one click copies keep-together and keep-apart rules from another plan.
  • Each plan shows its caterer line, for example the caterer's name, supplier meals, no-meal people and highchairs, taken from that meal's menu.
  • Allergies are marked in the For the caterer box.
  • If you already had a plan before you added your first menu, it moves to that menu's event with no seats lost.
  • On Celebrate and Champagne, the venue pack puts each meal's plan on a link with a six-digit PIN for your venue and caterer. See how to share your seating plan with your venue.

The seating planner page shows the screens, and the help centre's seating guide has the steps.

Your seating checklist for several meals

  • A list of who is coming to each meal.
  • A room and table layout for each.
  • Rules copied across where they apply.
  • Guest parties seated together.
  • A plan for each caterer, with their own guests and dietary notes.
  • Supplier meals and highchairs told to each caterer.
